Alternative Investment Forum, Omni Shoreham Hotel, Washington, DC.
Date: Thursday, April 7, 2008.
Client's Needs:
The AIF conference launched the International Alternative Investments Forum as a forum for relationship building among the world’s largest investors in alternative asset classes, especially Sovereign Wealth Funds (SWFs). The client needed to develop a comprehensive database of foreign embassies based in Washington, DC populated with contact information for ambassadors and economic ministers to be used for mailing invitations.
Approach and Solution:
With a short time frame to develop the invite list and diplomatic protocols to follow, a thorough and accurate database was created using U.S. State Department sources. A careful eye was needed to determine who was the most appropriate recipient in each embassy to receive the invite. Using a creative database approach and digital signatures, the invite packet was mailed out on time and followed up with a faxed reminder. Attendance was diverse and at capacity for the forum.
Lessons Learned:
While individuals and their responsibilities within embassies change, an up-to-date database guaranteed a smooth RSVP process and helped avoid any protocol missteps.
